How to delete your FootyTime account, what is removed, and what is kept where law, accounting, or safeguarding rules require us to.

How to delete your account

In-product tools, by account type.

Parent accounts. Sign in to the FootyTime portal, open Account & Privacy from your account menu, and use Close my account. You will first need to stop managing each child linked to your account; the page guides you through that. Account closure is immediate and you are signed out at the end of the flow.

Player accounts. In the FootyTime mobile app (or the web portal), open Account & Privacy and use Request erasure. The request goes through your club's data-retention process and includes a short recovery window in case it was started by mistake.

Coach, admin, and founder accounts. Staff accounts are managed by your club's founder or admin. They can remove your staff access from the club's user-management tools. If you also hold a parent role on the same account, you can close the parent side of the account yourself from Account & Privacy.

What deletion removes

The personal account data we no longer use after closure.

When you close your FootyTime account, your account is marked closed, you are signed out, and your login can no longer be used to access the platform. We remove or anonymise the personal account data we no longer need to keep, subject to the legal-duty exceptions below.

For a closed account this typically means we no longer use:

  • your name, email address, and login credentials for sign-in
  • your role assignments and active links to other club members
  • your notification preferences and saved settings

Player-profile erasure requests follow your club's data-retention policy and may include a short recovery window before the data is removed.

What we keep, and why

Records the law or safeguarding rules require us to hold.

Some records cannot be deleted on request because we are legally required to keep them, or because they are needed for safeguarding or audit purposes. After your account is closed, we may still retain:

  • Payment and refund records — retained as required by UK accounting and tax rules (typically six years from the end of the relevant financial year). Card numbers are never stored by FootyTime; payment processing is handled by Stripe.
  • Safeguarding records — including concussion stand-down history and welfare actions, kept for the period set by your club's safeguarding policy and applicable youth-football guidance.
  • Audit logs — records of significant actions (role changes, deletions, refunds, exports) with user, timestamp, and source IP, kept for a limited operational window for security and accountability.
  • Match, attendance, and team records — held by your club for the period set by their own retention policy. Your club is the controller for this data and decides how long it is kept.

Where these records contain personal data, we keep only what is needed for the legal or safeguarding purpose. Retention specifics are covered in the Privacy notice.

Children and parent-linked players

How deleting a parent account interacts with a child's player profile.

Closing your parent account does not automatically delete the player profile of any child you manage. The club is the controller for player records and decides how long to keep them.

If you want a child's player profile removed, you can:

  • use Stop managing this child in Account & Privacy to unlink yourself from the player, then
  • ask the club admin to remove the player and request erasure under the club's data-retention policy.

Staff accounts

Coach, admin, and founder roles are club-managed.

Coach, club-admin, and founder roles are assigned by the club. To remove your access, ask your club's founder or admin to remove your role from the club's user-management area. Once your staff access is removed and you have no other active capability on the account, the account is closed in the same way as any other.

If you also hold a parent role on the same account, you can close the parent side yourself using Close parent side of this account without affecting your staff role.

Timing

How long deletion takes.

Self-service account closure takes effect immediately: your sign-in is disabled, the account is marked closed, and you are signed out. Removal or anonymisation of associated personal data happens within a reasonable timeframe after closure, consistent with our normal data-retention process and the legal exceptions described above.

Manual deletion requests sent by email are reviewed and handled within a reasonable timeframe, typically within 30 days, in line with UK GDPR expectations.

Your wider rights

Before closing your account, you can use Download my data in Account & Privacy to receive a copy of the personal data we hold about you (and, for parents, the data held about each linked child).

You also have the right under UK GDPR to access, correct, or object to certain processing of your personal data. The Your rights section of the Privacy notice explains how to exercise each one and where to start (most member data is held by your club, who is the controller for it).

If you cannot sign in to use the in-product tools, email support@footytime.co.uk from the email address registered to the account. Please include:

  • the registered email address on the account
  • the club name (if known)
  • whether you are a parent, player, coach, club admin, or founder

We will verify the request before acting on it and reply with confirmation when deletion or anonymisation has been actioned.
